File Index Report
The document index report is a detailed report showing the indexing status of all documents in the system. This report provides information about whether documents are indexed or not, their file types, tags, and total size. The processing time for generating the report may vary depending on the number of documents in the system. The system can still be used while a new report is being generated.
The report screen consists of two sections: the directory list and the report detail section:
- Left Section: Lists the repositories and folders in the system. If no directory is selected on the left, the results for all documents in the system will be displayed in the right section.
- Right Section: Displays details such as the index status, total count, file types, tags, total size, and file list. When a directory is selected on the left, the specific information for that directory will be shown in the right section.
- Index Status: This chart visually represents how many documents in the system have been successfully indexed and how many have failed to index. The ratio between indexed and unindexed documents can be quickly seen on the graph.
- Indexed: The ratio and total size of documents successfully indexed.
- Unindexed: The ratio and total size of documents that couldn't be indexed.
- Error: The ratio and total size of documents that encountered an error during the indexing process.
- Total Count: This section visually shows the ratio of repositories, folders, and files in the system. It provides a general overview of the types of content in the system.
- Repository: The total number of repositories.
- Folder: The total number of folders.
- File: The total number of files.
- File Types: This chart shows the distribution of file types in the system. It allows users to see the number and ratio of different file types.
- Tags: This section displays the tags for documents in the system. The chart shows the number of documents associated with each tag and the distribution of tags. Tags help in categorizing content.
- Total Size: The total size of all the documents in the system is displayed here. It provides information about the total capacity of the data in the system.
- File List: A detailed list of all documents in the system is displayed in the right section. This list includes file names, types, creation dates, and other relevant information.
Report Generation Steps:
- Click the New Report button to initiate the document report generation process.
- The report generation process starts in the background and the system can still be used while it is running.
- Once the report is ready, a notification message will be sent to the user.
